Privacy Policy

This Privacy Policy (“Policy”) describes how Logixboard, Inc. (“Logixboard,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when individuals (“you”) access or use our website, applications, platform, and related services (collectively, the “Services”).

This Policy applies to:

  • Visitors to our website
  • Users of our customer-facing platform
  • Authorized Users who access the Services under a Customer’s subscription
  • Individuals whose personal data is processed as part of shipment or logistics information (e.g., consignees, shippers, carriers)

If your organization (“Customer”) has entered into a Master Services Agreement (“MSA”), Order Form, or Data Processing Addendum (“DPA”) with Logixboard, those agreements govern our processing of Customer Data. In the event of conflict, the MSA/DPA controls.

01Personal Information We Collect

We collect the following categories of personal information, depending on how you use the Services.

1.1Information You Provide Directly

  • Name
  • Email address
  • Phone number
  • Job title / role
  • Company name
  • Login credentials
  • Customer support inquiries and communications
  • Billing or administrative contact information (for Customer administrators)

1.2Information Collected Automatically

When you access or use the Services, we automatically collect:

  • IP address
  • Device and browser type
  • Operating system
  • Usage analytics (actions taken within the platform)
  • Access times and session duration
  • Referring URLs
  • Approximate geolocation derived from IP address

We may use cookies and similar technologies to collect some of this information. See Section 9 (Cookies).

1.3Information From Third-Party Systems

We receive personal information through integrations or connections you or Customer enable, including:

TMS / Logistics Integrations

Examples include CargoWise or other Transportation Management Systems, which may provide:

  • Shipment-related contact information (consignees, shippers, carriers)
  • Documentation metadata
  • Tracking or status information associated with individuals

Email Ingestion via Microsoft Graph API

If Customer enables our Outlook integration:

  • We process email metadata, subject lines, body content, and attachments solely for automation and routing purposes.
  • All email ingestion data is archived or purged immediately after processing.

1.4Information From Analytics & Marketing Tools

We use third-party tools that may collect personal information:

  • Google Analytics
  • Mixpanel
  • Segment
  • Datadog RUM
  • HubSpot
  • Salesforce (lead data only)

We do not use advertising networks or third-party advertising cookies.

02How We Use Personal Information

We use personal information for the following purposes:

  • Authentication and account access
  • Shipment and logistics visibility (displaying data from TMS and third-party systems)
  • Communication with you or Customer (e.g., support responses, service notices)
  • Processing email data for workflow automation (when enabled)
  • Service improvement, including diagnostics, QA, and analytics
  • Security, fraud detection, and compliance
  • Product announcements and service-related updates

We do not send broad marketing communications without consent. We do not sell personal information.

03How We Share Personal Information

We may share personal information with:

3.1Service Providers / Subprocessors

We use trusted third parties to support our operations, such as:

  • SendGrid (email delivery)
  • Intercom (customer support)
  • Mixpanel (analytics)
  • AWS (hosting)
  • TMS integration partners

A full list of subprocessors is published on our website and updated as required.

3.2Third-Party Platforms You Integrate

If Customer connects third-party systems (e.g., TMS software, communication tools), we will exchange data as authorized by Customer.

3.3Legal Compliance

We may disclose personal information if required to:

  • Comply with a valid legal request
  • Protect the rights, property, or safety of Logixboard, our users, or the public

We do not share personal information with:

  • Affiliates
  • Professional advisors
  • Government authorities unless required by law

3.4Aggregated and De-identified Data

We may create and share aggregated or de-identified data for service improvement, reporting, and product development. This data does not identify individuals.

04International Data Transfers

Logixboard currently stores and processes personal data in the United States for all non-EU customers.

We do not transfer personal data from:

  • The European Union to the United States
  • The United Kingdom to the United States

Logixboard is evaluating participation in the EU–US Data Privacy Framework.

If future international transfers occur, we will update this Policy and comply with applicable transfer mechanisms such as SCCs or UK addenda.

05Data Security

We use industry-standard technical and organizational measures to protect personal information, including:

  • SOC 2 Type II–certified controls
  • Encryption at rest
  • Encryption in transit
  • Access controls and authentication safeguards
  • Vulnerability scanning and monitoring
  • Logging and security alerting

No system can guarantee perfect security, but we maintain a comprehensive security program aligned with industry best practices.

06Data Retention

We retain personal information based on operational and contractual requirements.

  • User accounts: Retained while active; archived when inactive
  • Shipment data: Retained indefinitely unless Customer account is deactivated
  • System logs: Archived after 30 days
  • Email ingestion: Archived or purged immediately after processing
  • Upon contract termination: Customer Data is deleted within 30 days unless otherwise required by law or contract

We may retain aggregated or de-identified data indefinitely.

07Your Privacy Rights

Depending on your location, you may have specific rights regarding your personal information.

7.1GDPR / UK GDPR Rights

If you are in the EU, EEA, or UK, you have the right to:

  • Access your personal data
  • Request deletion
  • Request correction
  • Object to processing
  • Restrict processing
  • Lodge a complaint with a supervisory authority

Requests must be submitted through the Customer who controls your account or data.

7.2CCPA / CPRA Rights (California)

If you are a California resident, you may request:

  • Information about categories of data collected
  • Access to your personal information
  • Deletion
  • Correction of inaccurate information

Logixboard does not:

  • Sell personal information
  • Share personal information for cross-context behavioral advertising

7.3Other Rights (Canada, AUS, etc.)

You may have similar rights to access, correct, or delete your personal data depending on your jurisdiction.

You may exercise your rights (including access, deletion, rectification, and, where applicable, portability) by contacting your account administrator or us at privacy@logixboard.com. We do not currently provide a self-service export feature, but we will handle valid portability requests through our standard support and legal process.

08Children’s Privacy

The Services are not directed to children under the age of 16. We do not knowingly collect personal information from children.

09Cookies and Tracking Technologies

We use the following types of cookies:

  • Essential cookies (required for platform functionality)
  • Analytics cookies (for performance and usage measurement)

We do not use:

  • Advertising cookies
  • Cross-site tracking cookies

You may control cookies via your browser settings. Certain functionality may be limited if cookies are disabled.

A cookie consent banner is displayed where required by law.

10Your Choices

You may:

  • Update or correct personal information through your account administrator
  • Request deletion through Customer or by contacting privacy@logixboard.com
  • Manage cookie preferences via browser settings

If you opt out of product announcements, we may still send non-marketing operational communications.

Logixboard does not currently appoint a Data Protection Officer (DPO). If this changes, we will update this Policy.

12Changes to This Policy

We may update this Privacy Policy to reflect changes to our Services or legal requirements. When we make material changes, we will update the “Last Updated” date and notify users as required.
